Scope of work & project initiation
1.1 Scope of work
The agreed fee covers only the services outlined in the proposal. Any additional work, including extra filming days, revisions or deliverables, will be charged separately.
1.2 Project initiation
A project is deemed confirmed once the client has provided written approval of the proposal. A separate signed contract is not required. Upon confirmation, Bounce Video will allocate resources, crew and schedule time accordingly.
If a project is cancelled or postponed, Bounce Video reserves the right to charge for all work undertaken up to that point, including pre-production, planning, scheduling, crew coordination, equipment bookings and any third-party costs incurred.
Filming
2.1 Filming
Filming will be completed in one day, up to a maximum of 10 hours including setup.
2.2 Overtime
Filming days are scheduled on a 10-hour basis. Any client-requested overtime will be charged at £150 + VAT per hour.
2.3 Expenses
Unless otherwise specified, travel and expenses are included in the quote; however, parking is excluded. The client must provide one parking space for the camera operator. Where this is not available, the cost of the nearest public car park will be added to the final invoice.
2.4 Filming day – cancellation and postponement terms
Cancellations made more than three working days before the scheduled filming date will not incur a charge. Cancellations within two working days (but more than 48 hours) will incur a charge of 50% of the filming day fee. Cancellations within 48 hours will incur 100% of the filming day fee.
2.5 Audience and contributor releases
The client is responsible for ensuring that all speakers and identifiable contributors have granted permission to be filmed. Bounce Video can provide guidance, release forms and perimeter notices, if required.
2.6 Appearance and presentation
Interviewees should present themselves appropriately for filming, reflecting both their personal and professional brand. We provide guidance in advance on suitable clothing colours and make-up for filming. Powder and shine-reducing wipes will be available on the day to minimise glare under lighting.
While we will highlight any obvious on-camera issues, such as loose hair or clothing, responsibility for appearance remains with the contributor. Any re-shoot requested due to dissatisfaction with appearance will be chargeable.
Post production
3.1 Edit and revisions – scripted videos
For fully scripted videos, including those featuring text overlays or scripted audio, the script and on-screen text will be created by Bounce Video and must be approved prior to filming.
Two rounds of amendments are included during the edit stage. Minor text adjustments may be accommodated; however, any structural or narrative changes after sign-off will require additional work and be charged accordingly. Any changes to approved scripts after filming, including requests to re-record voiceover, dialogue or on-screen delivery, will be treated as additional work and subject to additional fees.
3.2 Edit and revisions – non scripted/interview videos
For non-scripted content, two rounds of amendments are included. All major editorial decisions, including interview selections and titles, should be addressed in the first round. The second round is for refinement. Significant changes introduced at this stage may incur additional charges.
3.3 Edit and revisions – presentation videos (e.g. panel discussions or speaker events)
For longer-form presentation films such as full panel discussion videos, one round of amendments is included.
3.4 Supply of assets for the edit
All assets supplied for the edit, including slides, images, logos and speaker details, must be final and up to date. Any revisions to supplied materials after editing has commenced may result in additional charges.
3.5 Timeline & feedback
The client is expected to provide feedback in a timely manner to avoid delays to the project. While a reasonable period is allowed to gather internal stakeholder feedback, extended delays where the project is not prioritised may impact agreed delivery timelines and our ability to keep the project active on working drives. As active storage is required for ongoing projects, we are unable to hold projects open indefinitely. Where feedback is delayed for an extended period, Bounce Video reserves the right to issue the latest version as final, close the project, and invoice for the work completed.
3.6 Stakeholder sign off
The client is responsible for consolidating stakeholder feedback within the allocated revision rounds. Where additional rounds are required due to delayed or incomplete feedback, Bounce Video reserves the right to charge accordingly.
3.7 Additional rounds of changes
Additional amendment rounds are typically charged at £250 + VAT, although this may vary depending on the scope of changes.
3.8 Changes post sign-off
Once a project has been signed off, files are archived. Any subsequent changes, including minor updates, will incur a minimum charge of £250 + VAT to cover file restoration, edit time and post-production processes such as rendering, real-time proofing and file transfers.
3.9 Delivery of raw footage
Delivery of raw or unedited footage is not included unless expressly agreed as part of the initial scope of work.
If the client requires a copy of the raw footage, this can be arranged on the day of the shoot, provided the client supplies a suitable high-speed hard drive. We can advise on appropriate specifications in advance.
All footage is captured in a professional log or flat colour profile to preserve maximum dynamic range and flexibility in post-production. As a result, raw footage will appear desaturated and unfinished when viewed without colour grading. The company accepts no responsibility for footage used without appropriate grading.
Online transfer of footage can be arranged for an additional fee to cover the time required for preparation, organisation, export and transfer of high-resolution files.
To ensure footage is suitable for external or public-facing use, we strongly recommend professional colour grading. Bounce Video can colour grade selected clips as part of the transfer process, ensuring a consistent, high-quality finish ready for use.
Intellectual property
4.1 Intellectual property
Ownership of the final edited content transfers to the client upon full payment, unless otherwise agreed. Bounce Video retains the right to use the content for portfolio and promotional purposes.
Payment
5.1 Payment terms
For UK-based organisations, 50% is invoiced in advance and 50% on completion. For organisations based outside the UK, full payment may be required prior to filming or final delivery. All invoices are payable within 30 days.
